How I redesigned a PM product !

The company named mentoor based out of Egypt contacted to redesign their project management webapp.

Project Overview

I have worked on this project as a UX designer. Company already had their project management system but user experience of that product was very complicated and blunt. And they want a customised project management system.

Goal

Goal of this project is to find existing pain points with current system. Create a simple, scalable & streamline project management process.

Flaws

  • Existing system do not suggest a clear path or direction on usability of the product.
  • There is no option to customised system like kanban board, etc.
  • Distraction is the major issue of the product. For ex- If a user is creating a project, due to unorganised UX there is no clear indication for what to do next.
  • There is no upfront details or progress of a particular task or project.
  • Overall usability needed to be changed and simplified.

outcome

After talking to users I found few important points

Software Engineer

  • Engineers were spending 40% of their time in managing product flows like tasks, bugs, connecting with other engineers etc.
  • Tracking of issues like bugs, requests, etc. is a mess.
  • Engineers as a user want to focus on their core work and don’t want distraction.

Product/project manager

  • Their core work is to overlook every aspect of the product development or progress.
  • They are not able to track and overlook entire process clearly as the current working system is very unorganised and requires few manual efforts as well.
  • Mindset of these users is to have a quick grasp of the overall product development and based on that they do user testing, product planning etc.

Designers

  • The core work of designers is to conduct user research, product design and other design related work.
  • But as design process includes various stages, they needed to be tracked and monitored properly.
  • Mindset of these users are to completely focus on their work rather spending time on organising process.

User Behaviour

During my research I noticed few user behaviour pattern.

Exploration

When these user start using any new management platform they try to explore the usability and features. So, providing a safe and reversible changing features needed to be incorporate.

Fear of missing out

When they list tasks, bugs or etc. Due to large volume and work pressure they always have FOMO of missing out on tasks. So, needed to provide reminder system.

Satisfaction

As these users are very work in a very faced paced environment so, they look for instant confirmation or satisfaction for the action they have performed.

An obvious question raised during research process is, there are various well established product such as JIRA, Monday.com, Split.io etc.

The only answer I got after talking to stake holders and after research that they need a customised management software, which can handle all management issues catering to their own users. Every other software has their own benefits but not have all the features that company want.

  • Employee Time Tracking.
  • Points System to estimate employee achievements.
  • Mail System for all employees.
  • Advanced Reporting System
  • Clients Portal.
  • Client Tickets System
  • Sales Management System.
